Bulk Options for Contacts (Assign to Groups, Edit, Send Invites w/Verification Codes, Remove)

Overview

ReachWell provides several methods for managing contacts (i.e. families) in bulk. This requires that your organization has already uploaded contacts to ReachWell. If you need assistance with this, please reach out to support@reachwellapp.com

Assign Contacts/Students to a Group


For organizations utilizing our First Class plan, you have the ability to assign multiple students (Clever sync only) or contacts to a group in ReachWell simultaneously. This makes the process easier when there are a significant number of contacts (i.e. families) you need to add to a group. Please note, this option does require that your organization has contacts already uploaded into ReachWell.  If you haven't yet done this, but would like to do so, please reach out to support@reachwellapp.com.
  1. Log in to your ReachWell Dashboard.
  2. You will first need to create groups if you haven't already. For help with groups, please visit THIS article.
  3. Navigate to People > Contacts.
  4. You will see the list of your organization's current contacts in ReachWell. 
  5. Select the contacts you would like to add to a specific group.
  1. Scroll down to the Choose a Bulk Action and select Add Contacts to Groups.
  2. Select the group and then Assign Organizations.
          

Remove Contacts 

This option allows organizations to remove multiple contacts from ReachWell if their associated students have graduated their grade level. For ReachWell clients utilizing our First Class plan, contacts are populated in ReachWell from your student information system (SIS) via Clever, or by a CSV upload.  In cases where contacts are being synced by Clever, you do not need to utilize the remove function because students and contacts are automatically removed based on the updates made to your student information system (SIS).
  1. Navigate to the ReachWell Dashboard > People > Contacts.
  2. Select your school from the top bar, and then select Search.
  3. Select the contacts (i.e. families) who should be updated.
  4. Scroll to the bottom to the Choose a Bulk Action Item section.
  5. Select Remove contacts from organization
  6. Select Go

TIP! While this functionality is available on both the Students and Contacts pages in ReachWell, we recommend only utilizing this feature from the Contacts page.

Edit Multiple Contacts

Admins can edit details for multiple contacts using the Edit Multiple Contacts option. This allows for removing contacts from groups, and editing their profile details. This option also allows admins to edit contact notification preferences. Please note, if you would like contacts (i.e. families) to receive texts and emails in a language other than English, you can modify their languages individually or in bulk. To update contact details in bulk, please:
  1. Navigate to the ReachWell Dashboard > People > Contacts.
  2. Select your school from the top bar, and then select Search.
  3. Select the contacts (i.e. families) who should be updated.
  4. Scroll to the bottom to the Choose a Bulk Action Item section.
  5. Select Edit Multiple Contacts and select Go.
  6. Make the needed updates and then select Edit Contacts.

            

Please note! If a contact verifies on the ReachWell app and updates their language, their language preference will supersede what was entered for them from the Contacts page.

Send Email Invite to Contacts

To send a bulk email inviting contacts (i.e. families) to ReachWell (which includes their personal verification codes, if applicable), please:
  1. Navigate to the ReachWell Dashboard > People > Contacts page.
  2. Select your school from the top bar, and then select Search.
  3. Select all contacts (i.e. families)  by tapping the checkbox in the first column/first row to select everyone.
  4. Scroll to the bottom to the Choose a Bulk Action Item section.
  5. Select Send Email Invites to Unverified Contacts and then Go.
  6. An email will be sent to all contacts containing their verification codes for ReachWell.
  7. Once you've sent the email, we also recommend taking one more step and sending the notification via text. To do this, after sending the bulk email, your contacts should still be selected, so you can simply choose Choose a Bulk Action > Send SMS Invites to Unverified Contacts Go to send a text to the same contacts!
           
Both the email and text invites will only send invites to unverified contacts. Verified contacts will not receive any text or email invite.

Send Text (SMS) Invite

To send a bulk text inviting contacts (i.e. families) to ReachWell (which includes their personal verification codes, if applicable), please:
  1. Navigate to the ReachWell Dashboard > People > Contacts page.
  2. Select your school from the top bar, and then select Search.
  3. Click the Select All option which will auto-select only the contacts who have not yet verified. Verified contacts will not be included.
  4. Scroll to the bottom to the Choose a Bulk Action section.
  5. Select SMS Invites to Unverified Contacts and then Go.
A text will be sent to all unverified contacts containing their verification codes for ReachWell.

Export as a CSV

To export contact data to a CSV file, please:
  1. Navigate to the ReachWell Dashboard > People > Contacts page.
  2. Select your school from the top bar, and then Search.
  3. Select the contacts whose information you want to export to a CSV file.
  4. Scroll to the bottom of the page to the Choose a Bulk Action Item section.
  5. Select Export Contacts as a CSV File and then Go.
The export will include contact profile information, associated groups, personal verification codes, and which students they are related to.
TIP! This export is also available from the Dashboard > Students page and shows each student, and their verified or unverified contacts.

Send PDF Invite

This option allows admins to print out PDF invites to send in an email message to contacts that include details on how to download the ReachWell app, and the individual contact's verification code (if this feature is enabled for your organization). Please note that these invites are in English and Spanish only, so they will not be translated to other languages like standard emails and texts.
To export contact data to a CSV file, please:
  1. Navigate to the ReachWell Dashboard > People > Contacts page.
  2. Select your school from the top bar, and then Search.
  3. Select the contacts who have not downloaded the app or verified
  4. Scroll to the bottom of the page to the Choose a Bulk Action Item section.
  5. Select Download Printable Invites and then Go.


Please note: The screenshot above is the ReachWell PDF download for First Class clients who provide contacts with verification codes.

Students with NO Group Assignment (Clever Sync Only)

For a list of students who do not have any group associations, please:
  1. Navigate to your Dashboard Students page.
  2. Choose Select School.
  3. Select No Group from the Select Group drop-down.
  4. Select Search.
All students who are not associated with groups will display.

Assign Students to Groups  (Clever Sync Only)

For organizations syncing data from Clever, contacts and students are populated in ReachWell from your student information system (SIS).  This section details how to bulk assign contacts to a private group by the students they are associated with. Please note that you will first need to create groups if you haven't already. For help with creating and managing groups, visit THIS article. Once the groups have been created, follow these steps to bulk assign contacts:
  1. Log in to your ReachWell Dashboard.
  2. Navigate to the People > Students page. In ReachWell, contacts (i.e. families) are connected to their students. Simply by adding students to ReachWell groups, their associated contacts will also be added to those groups. 

          

  1. From the Students page, you can view all of the students in ReachWell. The student list can be sort by first name, last name, or student grade.

           

  1. Select the students you'd like to add to a specific group.

         

  1. Scroll to the bottom of the page and select Choose a Bulk Action then click Add Student to Groups.
  2. Select Go.
  3. A pop-up will appear titled Add to Organization Units. Select the group you'd like to add the student to and then select Assign Organizations.
Considerations
  1. If your organization syncs contacts to ReachWell from your student information system (SIS) via Clever, we recommend assigning students (not contacts) to groups. If you do this, any contacts associated with those students will be automatically assigned to the students' groups.
  2. If your organization imports contacts to ReachWell via uploading a CSV file, you will assign contacts through the Dashboard > App Setup > Groups. If you would like to add manually contacts to other groups once the import is complete, you can do this through the Dashboard > People > Contacts page. 
Please Note: Organizations that are importing contacts via a CSV file do not import students to ReachWell.
